What you need to know
Ready-made software is usually faster and less expensive when its existing workflow fits. Custom software is appropriate when business rules, integrations, user experience or competitive processes are meaningfully different. The decision should use a fit-gap analysis and total operating impact, not the number of advertised features.
Start with workflow fit, not product labels
Two systems called CRM, ERP or billing software can model very different operations. Write down the critical transactions, approvals, reports and exceptions. Demonstrate those exact scenarios rather than watching only a polished standard demo.
A ready-made product that fits 85 percent may be excellent if the missing 15 percent is low value. It may be costly if the missing portion controls margin, compliance or customer experience.
Compare the complete decision
The cheaper first-year option is not always cheaper over several years, and a custom system is not automatically an asset if it is poorly documented or maintained.

Use a fit-gap and risk matrix
Classify each requirement as supported, configurable, custom, process change or unavailable. Then score the operational impact of gaps and the cost of change. Include migration, training, downtime risk and the ability to export data.
This process often reveals a hybrid option: customize a proven foundation for standard modules and build only the differentiated workflow.
Contract questions for either approach
Confirm data control, access, deployment, security updates, backup, support, termination and handover. For source-code delivery, confirm licence and third-party components. For SaaS, confirm export format and what happens when the subscription ends.
